Personal data we process

Kootching processes your personal data because you use our services and/or because you provide these data to us yourself. Below, you will find an overview of the personal data we process:

• First and last name
• Company address details
• Phone number

• Other personal data actively provided by you, for example, by creating a message on our website, in correspondence, and by phone
• Other personal data provided during a coaching session or training, of which Nicole Koot takes notes.

For what purpose and on what basis we process personal data

Kootching processes/uses your personal data for the following purposes:

• Sending our newsletter
• To be able to call or email you if necessary to perform our services
• To inform you about changes to our services and products
• Notes are kept to be sharp in the next conversation regarding your situation/coaching question. And, if you come back to Kootching for extra sessions, or ever have a short question to discuss, we can refer to the data and respond adequately.

How long and how we retain personal data

Kootching does not retain your personal data for longer than necessary for the purpose for which we received it. When you unsubscribe from our newsletters, we will delete your data from the system at the end of the respective month. We keep trajectory proposals with price proposals for at least 7 years to comply with our legal obligations. Notes from conversations are kept for 10 years. We keep these data in a safe, inaccessible, and invisible place. After 10 years, we assume that the data have changed to such an extent that it is no longer relevant if you come back to us. After those 10 years, we will carefully destroy the notes. We store emails, quotes, information provided by you on the website on a computer that is well-secured with passwords.

Sharing personal data with third parties

Kootching does not sell your data to third parties and will only provide it if necessary for the execution of our agreement with you or to comply with a legal obligation. We enter into a data processing agreement with companies that process your data on our behalf to ensure the same level of security and confidentiality of your data. Kootching remains responsible for these processing operations.

Social Media

We want to make it as easy as possible for you to share the content of our website via Social Media. This can be done, among other things, through Social Media (share) buttons. Read the privacy statements of the respective Social Media platforms (Facebook and LinkedIn) to know how they handle privacy.

View, modify, or delete data

You have the right to view, correct, or delete your personal data. You also have the right to withdraw your consent for data processing or to object to the processing of your personal data by Kootching and you have the right to data portability. This means that you can submit a request to us to send your personal data we to you or another organization mentioned by you in a computer file. You also have the right to request a copy or the originals of the notes from our conversations. You can send a request for access, correction, deletion, data transfer of your personal data or request for withdrawal of your consent or objection to the processing of your personal data to info@kootching.nl.

To ensure that the request for access has been made by you, we ask you to send a copy of your identity document with the request. Make your passport photo, MRZ (machine-readable zone, the strip with numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN) in this copy. This is to protect your privacy. We will respond as quickly as possible, but within four weeks, to your request.

How we secure personal data

Kootching takes the protection of your data seriously and takes appropriate measures to prevent abuse, loss, unauthorized access, unwanted disclosure, and unauthorized changes. If you feel that your data is not properly secured or there are indications of abuse, please contact info@kootching.nl.
